Privacy notice

This notice explains how HKTSE s.r.o. handles personal data when you visit hktse.eu.org, contact us, apply to the project network or interact with a service for which HKTSE acts as controller. A customer contract or data processing agreement may define different roles for delivered services.

1. Controller and contact

The controller is HKTSE s.r.o., IČO 108 58 032, registered office at Čenětická 2413/1a, Chodov, 149 00 Prague 4, Czech Republic. Privacy requests may be sent to privacy@hktse.eu.org.

2. Data we may process

• Business inquiries: name, organisation, role, contact details, message content and subsequent correspondence.
• Applicants and project-network contacts: profile, CV, location, languages, work eligibility, availability, rate or engagement information and interview notes you choose to provide.
• Website and security data: IP address, request time, requested resource, user agent, security events and limited diagnostic logs generated by hosting or network infrastructure.
• Service data: account, support, operational or billing information where a separate HKTSE service or contract requires it.

Please do not send identity documents, special-category data, confidential customer material or production credentials unless we have requested them through an agreed secure channel.

3. Purposes and legal bases

• To answer inquiries, prepare proposals and take steps requested before a contract, based on Article 6(1)(b) GDPR.
• To deliver agreements, maintain business records and provide support, based on contract and applicable legal obligations.
• To secure, diagnose and improve our website and systems, prevent abuse and maintain professional correspondence, based on our legitimate interests under Article 6(1)(f) GDPR.
• To assess project-network profiles and discuss potential engagements, based on pre-contractual steps and legitimate interests. Separate consent is requested where we want to retain a profile beyond the active process and consent is the appropriate basis.
• To send optional marketing communications only where permitted by law. You may object or unsubscribe at any time.

We do not sell personal data and do not use it for unrelated behavioural advertising.

4. Website cookies and analytics

This public website does not currently run advertising trackers, behavioural analytics or non-essential cookies. Our hosting and security provider may process request metadata and use strictly necessary security mechanisms to deliver and protect the site. If we later introduce consent-dependent analytics or marketing technologies, this notice and the site controls will be updated before use.

5. Recipients and international transfers

Data may be handled by authorised HKTSE personnel and service providers supporting hosting, security, email, collaboration, accounting or customer delivery. The public website is delivered through Cloudflare. Providers act under their own terms or appropriate processing arrangements. Where personal data is transferred outside the European Economic Area, we rely on an adequacy decision, approved contractual safeguards or another lawful transfer mechanism as applicable.

6. Retention

We keep data only while needed for the stated purpose and then for any applicable contractual, accounting, security or legal-claims period. Inquiry records are reviewed after the business purpose ends. Applicant records are retained for the active selection or project-network purpose and are not kept indefinitely without a continuing lawful basis. Routine security logs are kept for a limited operational period unless an incident, abuse case or legal obligation requires longer retention.

7. Your rights

Subject to the conditions in the GDPR, you may request access, rectification, erasure, restriction, data portability or information about processing. You may object to processing based on legitimate interests and may withdraw consent without affecting earlier lawful processing. You also have the right to lodge a complaint with the Czech Office for Personal Data Protection or another competent supervisory authority.

8. Automated decisions and AI

HKTSE does not use this website or its project-network process to make solely automated decisions that produce legal or similarly significant effects. AI tools may assist with drafting, classification, retrieval or technical analysis, but consequential business, employment and publication decisions remain subject to human review. Customer AI systems are governed by the applicable scope, roles and data agreement.

9. Security and changes

We use proportionate technical and organisational measures, including access control, encrypted transport, credential separation and operational logging where appropriate. No internet service can guarantee absolute security. We may update this notice when our processing, providers or legal obligations change; the current date will remain shown above.
